Privacy Policy

Families trust us with information about their teenagers. We take that seriously. This page explains in plain language what we collect, why we collect it, who helps us process it, and the choices you have. It is written to align with PIPEDA, Canada's federal private-sector privacy law.

The Short Version

  • We collect what families give us through our forms, the student portal, and email. Nothing hidden.
  • We use it for one purpose: running the coaching program and communicating with you.
  • We never sell personal information, and we do not run advertising or tracking.
  • A parent or legal guardian must consent before a student joins. All agreements are with the parent.
  • Working submissions and recordings are deleted within 12 months of the admission decision release.
  • You can ask us at any time what we hold, ask us to correct it, or ask us to delete it.

1.Who we are

Commerce Edge is an eight-week admissions coaching program for Grade 12 students applying to the Queen's Commerce program. It is run by its two founders and operated from Canada. We are responsible for the personal information described in this policy.

Questions, requests, or concerns about privacy all go to one place: hello@commerceedge.org. One of the founders handles every privacy request personally.

2.What we collect

We only collect information that you or your student give us directly. In practice, that means:

  • Inquiry, booking, and application forms. Student and parent names, email addresses, phone number, school, grade, current average, activities, and anything else you choose to tell us. These forms are submitted through Netlify Forms.
  • Portal account. The email address used to sign in to the student portal, managed through Netlify Identity.
  • Module submissions. Written coursework the student submits during the program through Tally forms.
  • Practice recordings. Video and audio recordings the student makes in their browser in the practice studio and chooses to send to their advisor. These are submitted through Netlify Forms. Recording never starts without the student's action, and nothing is sent unless the student clicks send.
  • Documents we create from submissions. Form submissions are automatically turned into working documents through Zapier and stored in Google Docs and Google Drive so coaches can review them and write feedback.
  • Email correspondence. Emails between your family and us.

Payment details are handled under the service agreement signed by the parent or guardian, not through this website.

3.Why we collect it

We collect and use personal information for four purposes:

  • To evaluate whether the program is a good fit for your student.
  • To deliver the coaching program itself.
  • To review submissions and practice recordings and give the student feedback.
  • To communicate with your family about scheduling, progress, and administration.

That is the whole list. We do not sell personal information, we do not share it for marketing, and we do not use it for advertising.

4.AI-assisted review

Our coaches sometimes use AI tools to assist in reviewing application materials and coaching submissions, for example to help organize feedback on a written draft. When this happens:

  • We share only what is needed for that specific review, nothing more.
  • The information is not used by us to train AI models.
  • Your coach remains responsible for all feedback. AI assists the review; it does not replace the coach.
  • This happens only under the consent given at enrollment. If you do not want AI tools used with your student's materials, tell us and we will review manually.

5.Who helps us process it

We are a small team and we rely on a few well-known service providers to run the program. They process information on our behalf and under their own security programs:

Some of these providers store information on servers outside Canada, including in the United States. While it is there, it may be accessible to authorities in those countries under local law. We choose providers with strong security practices, but we want you to know where the data physically lives.

6.Students are minors, so parents are in charge

The program is designed for Grade 12 students, most of whom are under 18. Because of that:

  • We require a parent or legal guardian to consent before a student joins the program.
  • All agreements are between Commerce Edge and the parent or guardian, never the student.
  • Parents and guardians can contact us at any time about their child's information, including to see it, correct it, or have it deleted.

7.How long we keep it

We keep working materials only while they are useful for coaching. Working submissions and practice recordings are deleted within 12 months of the admission decision release for the student's application cycle.

We may keep basic administrative records for longer where the law requires it, for example the service agreement and records needed for accounting. We keep those only as long as required and nothing more.

8.Your rights

You can, at any time:

  • Access the personal information we hold about you or your student.
  • Correct anything that is inaccurate or out of date.
  • Withdraw consent to our use of the information. If consent is withdrawn mid-program we may not be able to keep coaching, and we will explain the consequences before anything changes.
  • Request deletion of submissions, recordings, and other materials.

To exercise any of these, email hello@commerceedge.org. We respond within one business day and complete requests as quickly as we reasonably can.

If you are not satisfied with how we handle a privacy concern, you have the right to complain to the Office of the Privacy Commissioner of Canada.

9.How we protect it

We will be honest with you about what our security looks like, because we would rather be accurate than impressive:

  • Access to student information is limited to the two founders. No one else reviews materials.
  • Information travels over encrypted connections (HTTPS) between your browser, our site, and our providers.
  • Our accounts with the providers listed in section 5 are protected with strong, unique credentials.

We do not claim any security certifications, and no system is perfectly secure. If a breach ever creates a real risk of significant harm to you or your student, we will notify you and report it as required by law.

10.Cookies and local storage

This site is quiet by design. Here is everything it stores in your browser:

  • Portal progress. The student portal saves module progress (for example, which modules are marked complete) in your browser's localStorage. It stays on your device.
  • Sign-in. Netlify Identity uses an authentication token so the student stays signed in to the portal.
  • Fonts. Pages load the Inter typeface from Google Fonts, which means your browser makes a request to Google's servers when a page loads.

There are no advertising cookies, no analytics trackers, and no cross-site tracking of any kind.

11.Changes to this policy

If we change this policy, we will post the new version on this page and update the effective date at the top. If a change meaningfully affects how we handle student information, we will email enrolled families directly before it takes effect.
